On-the-Day Wedding Coordination

On-the-day wedding coordination, also known as day-of coordination, focuses on managing and executing your wedding day plans.

 

WHAT DO WE DO BEFORE YOUR WEDDING DAY? 

  • Pre-Event Meeting: A pre-event meeting with NMEP will occur before the wedding day to ensure all plans are in place.
  • 2 Physical meetings two mons prior to wedding day inclusive of 1 ocular inspection
  • Unlimited consultation via SMS and EMAIL upon reservation
  • Vendor Communication: NMEP will contact all vendors to confirm the details of their services and ensure they arrive on time.
  • Timeline Creation: NMEP will create a detailed timeline for your wedding day, including the ceremony, reception, and other events, to ensure everything runs smoothly and on schedule.
  • Assist in making the program outline & script.
  • Distribute the wedding day timeline for vendors and Contact vendors the week of the wedding to confirm previous discussions and verify all final details Wedding Day.

 

WHAT DO WE DO ON THE WEDDING DAY?

 

PREPARATION

  • Coordinate with suppliers
  • Prepare wedding paraphernalia for a photo shoot
  • Get turnover items for church and reception
  • Brief the couple, family members, photographer, videographer, & bridal car about the wedding timeline
  • Overall management of wedding
  • Handle the preparation and order-taking of food during the preparation
  • Ensure proper call time for suppliers is followed
  • Ensure the bride and groom’s timeline is implemented
  • Provide one bridal assistant to accompany and assist the bride during pictorials and at the bridal car
  • Use of wedding day emergency kit
  • Final inspections on setup, seating placements/count, table/escort cards, décor, etc. (as per instructions and discussions)

 

CEREMONY

  • Ceremony Coordination: A wedding coordinator will ensure that the ceremony runs smoothly, managing the timing of the processional, cues for music and readings, and coordinating with the officiant.
  • Check venue setup
  • Coordinate with the officer in charge at the church, sound system operator/singer / strings
  • Make sure all technical items are working properly
  • Prepare offertory table, Distribute missalettes/marriage rites
  • Make certain chairs are exact for the entourage
  • Arrange paraphernalia
  • Distribute bouquets and wedding paraphernalia to members of the entourage
  • Supervise the arrival of liturgical & offertory participants
  • Instruct participants on their duty
  • Manage the flow of processional and ceremony
  • Assist with the contract signing, pictorial and recessional
  • Gather back wedding paraphernalia such as candles, veil, cord, etc.

 

RECEPTION

  • Reception Coordination: NMEP will manage the timing and coordination of all aspects of the reception, including the grand entrance, first dance, toasts, and other events.
  • Venue Setup: NMEP will ensure that the venue is set up according to your specifications, including decor, centerpieces, and seating
  • Discuss the program with the suppliers.
  • Greet guests and assist with seating arrangements as needed
  • Registration: Man, the registration area, handle the gifts from the guests, usher guests and VIPs
  • Attend to guests needing special assistance
  • Coordinate reception activities – grand entrance, first dance, cake cutting, toasts, etc.
  • Manage the flow of the reception program
  • Coordinate with all the suppliers throughout the wedding reception program
  • Silently cue each table for the photo op during dinner/lunch
  • Troubleshooting: NMEP will be on-site to address any unforeseen issues, such as a missing vendor or a guest seating mix-up.
  • Emergency Backup Plan: NMEP will have a backup plan in place in case of unexpected circumstances, such as bad weather or vendor cancellations.
  • Distribute wedding favors and signing of guest books/frames.
  • Gather back reception items such as a guest book, sign frame, etc.
  • Assist in the turnover of wedding paraphernalia items
  • Manage the timing of the event with the wedding party, family members, and vendors
  • Review reception activities and timing with band or MC/DJ and photographers/videographers
  • Distribute final payments and gratuities to vendors (paid by Client) with receipts of payment
  • Coordinate transport of gifts and personal items into designated car or hotel room

Turn-Over Wedding Planning and Coordination

Also known as partial planning, it supports couples who have already made some progress with their wedding planning but need help with certain aspects.

  • Initial Consultation: The first step in the partial wedding coordination process is a consultation to discuss your vision, preferences, and budget.
  • Budget Planning: NMEP will help you create and manage a realistic budget for your wedding, adjusting to accommodate any changes you may have made.
  • Five physical meetings five months prior wedding day
  • Unlimited consultation via SMS and EMAIL upon reservation
  • 1 Ocular visit at the ceremony & reception site
  • Complete pending minor details from the first meeting
  • Vendor Recommendations: NMEP will recommend vendors for any services you have not yet secured, including caterers, photographers, florists, musicians, and more.
  • Double-check suppliers’ contracts & call time
  • Remind the entourage’s call time at the hotel and church.
  • Coordinate with notable program participants
  • Assist in making the program outline & script.
  • Design and Decor: NMEP will work with you to create a cohesive design and decor plan for your wedding, including color schemes, floral arrangements, lighting, and more.
  • Timeline Creation: NMEP will create a detailed timeline for your wedding day, including the ceremony, reception, and other events, to ensure everything runs smoothly and on schedule.
  • Rehearsal Coordination: NMEP will attend and coordinate your wedding rehearsal, ensuring everyone knows what to expect on the big day.
